Privacy policy for the use of the MHM eRECRUITING tool

1. Possibilities and purpose of using MHM eRECRUITING

 We are very pleased about your interest in our company and your application. The following options are available for using our job exchange MHM eRECRUITING:

Targeted application: You can apply for a position at Instrument Systems GmbH, Kastenbauerstraße 2, 81677 Munich in Germany (hereinafter referred to as "Instrument Systems") including our national centers via our job exchange. In doing so, you provide us with your profile for a specific advertised position or internship. Your details will only be checked for this position, a check for further vacancies will only take place if you have released your profile for this as described in the "Unsolicited application" section.

Registration for an unsolicited application: You provide us with your profile without applying for a specific position. By releasing your profile accordingly, you allow Instrument Systems to check your profile for various job opportunities. If your profile is eligible for a vacancy at Instrument Systems, we will contact you using the contact details you have provided. Your details will be treated confidentially. Instrument Systems reserves the right to make your application documents available to other companies involved under company law in cases of unsolicited applications and the release of your profile for further vacancies.

You can change your contact details at any time for any form of application. For more information, please refer to section 2, point c) of this privacy policy.

If we cannot offer you a suitable position at the moment, you have the option of being included in our "talent pool". We will contact you separately and you can agree to this inclusion.

2. Information on the processing of your personal data

The protection of your personal data is a particularly important concern for Instrument Systems. We therefore always treat the personal details you enter on our portal confidentially and in accordance with data protection regulations, in particular the FDPA (Federal Data Protection Act) and the GDPR (Generell Data Protection Regulation) of the EU. This declaration on the protection of privacy and personal data applies exclusively to the use of the MHM recruiting tool by Instrument Systems.

If you apply or register with your profile and provide us with information via the Instrument Systems job exchange, the processing of your personal data for the purpose of processing applications and recruiting is based on §26 para. 1 FDPA. This also applies to the possible transfer of personal data to future domestic centers of Instrument Systems or companies involved under company law.

In order to be included and processed in our "talent pool", we obtain your consent for the processing of your personal data. This takes place on the legal basis of Art. 6 para. 1 lit. a GDPR.

2a) Legal basis of the processing

(1) Usually the processing of your data is carried out on the legal basis of § 26 paragraph 1 FDPA. We will of course respect your wish to withdraw from an application procedure at any time and proceed accordingly. Please address your request to us in the original way or by e-mail to hr@instrumentsystems.com.

In this case Instrument Systems will no longer use your personal data for the application process. Your personal data will be deleted in accordance with data protection regulations when the statutory retention periods expire.

Right of revocation: Your consent can be revoked at any time without giving reasons with effect for the future. You can either send an e-mail to hr@instrumentsystems.com or write to the contact details of the person responsible given below. The revocation of consent does not affect the lawfulness of the processing carried out on the basis of the consent until revocation.

2b) Data collection

The personal data contained in your application or unsolicited application will not be stored in the eRecruiting tools from Instrument Systems without your consent. However, you can leave this information voluntarily for specific purposes in the designated areas of the Instrument Systems eRecruiting Tool (such as your name, current job title, e-mail address, telephone number during registration). We will not ask you on the Instrument Systems eRecruiting Tool to provide us with so-called special types of personal data in accordance with Art. 9 GDPR. However, if you provide us with such information voluntarily, you agree to store this information as part of the registration process and to use it for the purpose of deciding on the establishment of an employment relationship or, after the establishment of the employment relationship, for its implementation.

2c) Processing, updating and deletion of your data

You can make changes to your contact data at any time in the Instrument Systems eRecruiting tool. Please note that changes to your profile can affect the entire application.

Personal data will be deleted six months after completion of the application process in accordance with § 61b (1) ArbGG in conjunction with § 15 AGG.

In the case of admission to the "Talent Pool", the deletion takes place after three years if no suitable position can be offered.

2d) Recipient of your personal data

In order to process your application, your personal data will be made available to the contact person in the personnel department as well as to the person responsible in the specialist department. This is done exclusively via the applicant tool.

The provider of the software-supported e-recruiting tool, on which the personal data is securely stored, also has the theoretical possibility of accessing the data within the scope of support services / maintenance services / hosting services. In doing so, the service provider is contractually prohibited from using your data in his own interest. These services are contractually agreed and guarantee a high level of security.

All data processing takes place in Germany or within the EU. Data is not forwarded to third countries outside the EU.

2e) Use of XING components

Our job exchange uses components of the XING.com network. These components are a service of XING AG, Dammtorstraße 29-32, 20354 Hamburg, Germany. Each time you access our website which is equipped with such a component, this component causes the browser you are using to download a corresponding display of the component from XING.

XING sends and stores personal user data to our website by means of the profile data import function. XING does not store IP addresses. Furthermore, no evaluation of user behavior is carried out on the use of cookies in connection with the "XING button". 2f) Cookies

The Instrument Systems eRecruiting tool uses so-called session cookies, which store data for technical session control in your browser's memory. These are not used to collect usage data and are deleted at the latest when you close your browser. Furthermore, we would like to point out that browsers generally have functions for the administration of cookies.

With each access, the IP address, the browser type and the page called up are stored.

3. Your rights

You have the following rights with regard to the personal data concerning you that are processed by us:

  • to request information on categories of data processed, processing purposes, any recipients or categories of recipients of your data, as well as the planned storage period (Art. 15 GDPR);
  • to demand the correction of incorrect or incomplete data or the completion of such data (Art. 16 GDPR);
  • to demand the deletion of data within the scope of Art. 17 GDPR - in particular if the personal data are no longer necessary for the intended purpose or are processed unlawfully, or if you have revoked your consent or lodged an objection to processing;
  • under certain conditions, in accordance with Art. 18 GDPR, to demand the restriction of data processing if, for example, deletion is not possible or the deletion obligation is disputed;
  • to receive the personal data concerning you which you have provided us with in a structured, common machine-readable format within the framework of data transferability in accordance with Art. 20 GDPR and, if necessary, to transfer it to others;
  • to revoke any consent you have given at any time with effect for the future (Art. 7 para. 3 GDPR); this naturally also applies to the revocation of any consent you may have given to us prior to the application of the GDPR;
  • to complain about data processing to the competent supervisory authority in accordance with Art. 77 GDPR;
  • to object to data processing on the basis of a legitimate interest for reasons arising from your particular situation (Art. 21 para. 1 GDPR).
